Terms and conditions

1. Booking & Payment

- A non-refundable booking fee of 30% is required to secure your event date.

- The remaining balance is due no later than 14 days prior to the event.

- Bookings are not confirmed until the booking fee has been received.

- Failure to make payment by the due date may result in cancellation of services.

- Package pricing does not include travel expenses unless expressly stated otherwise.

- Travel fees may apply for events located outside The Heirloom Edit's service area and will be calculated based on the event location.

- Any applicable travel, accommodation, parking, tolls, or other related expenses will be outlined and included in the final invoice prior to the event date.

- Where additional travel costs arise due to changes in venue location or event schedule after booking, an updated invoice may be issued.

2. Service inclusions 

Package inclusions are outlined at the time of booking and are limited to the services specified in the selected package.

Additional edits, reels, extended coverage hours, rush delivery requests, or other add-ons may incur additional fees.

 

3. Content Delivery

- Raw iPhone footage will be delivered within 48 hours of the event unless otherwise agreed.Edited reels will be delivered within the timeframe specified at booking.

- Delivery times may vary during peak wedding seasons or due to unforeseen circumstances.

 

4. Reel Editing & Revisions

- Each reel includes one complimentary revision round.

- Revision requests must be submitted within 7 days of receiving the reel.

- Revisions are limited to reasonable changes such as pacing, clip selection, text overlays, or music adjustments where available.

- Additional revision rounds will incur a fee of $50 per revision.

- Major changes that substantially alter the original creative direction may be treated as a new edit and charged accordingly.

 

5. Music & Copyright

- Clients may provide music preferences or song requests.

- Due to copyright, licensing restrictions, and platform policies, The Heirloom Edit cannot guarantee the use of any specific song.

- Where a requested song cannot be used, a suitable alternative will be selected that aligns with the style and mood requested.

- The client acknowledges that social media platforms may mute, restrict, or remove audio from content after publication, and The Heirloom Edit is not responsible for such actions.

 

6. Client Cooperation

The client agrees to:

- Provide accurate event details and timelines.

- Inform The Heirloom Edit of any venue restrictions.

- Designate a point of contact on the event day if required.

- Obtain permission from venues or vendors where necessary for content capture.

 

7. Creative Discretion

The Heirloom Edit maintains full creative discretion regarding:

- Filming style

- Clip selection

- Editing style

- Reel structure

- Transitions and effects

- Music selection (where applicable)

The client acknowledges that all work is delivered in accordance with The Heirloom Edit’s creative style and portfolio examples.

 

8. Refund Policy

Due to the nature of event-based services and the reservation of dates:

Before the Event

- The booking fee is non-refundable.

- If the client cancels more than 30 days before the event, any payments made beyond the booking fee will be refunded.

- Cancellations within 30 days of the event are non-refundable.

 

After the Event

- No refunds will be issued once content has been captured.

- Dissatisfaction with artistic style, music selection, editing preferences, or personal taste does not constitute grounds for a refund.

- The included revision process is provided to address reasonable concerns with delivered edits.

 

8. Content Creator Disclaimer

The Heirloom Edit provides wedding and event content creation services intended for social media and personal keepsakes. These services are designed to complement, not replace, professional photography or videography. While every effort is made to capture meaningful moments throughout the event, The Heirloom Edit cannot guarantee coverage of every moment, angle, guest, detail, or key event.

 

Clients acknowledge that:

Content is captured primarily using an iPhone and handheld equipment. The focus is on candid, behind-the-scenes, and social-media-ready content. The Heirloom Edit is not responsible for capturing all formal events, family portraits, ceremonies, speeches, or other key moments typically covered by a professional photographer or videographer. Clients are encouraged to engage professional photography and videography services if they require comprehensive event coverage. The Heirloom Edit shall not be held liable for missed moments, incomplete coverage, or content expectations that fall outside the scope of social media content creation services.

 

9. Event Delays & Schedule Changes

Coverage begins and ends at the times agreed upon in the booking confirmation.Significant schedule changes should be communicated as soon as possible.Additional coverage hours may be available at an additional fee, subject to availability.

 

10. Limitation of Liability

While every effort is made to capture and preserve content, The Heirloom Edit shall not be liable for:Venue restrictionsPoor lighting conditionsWeather conditionsInterference by guests or vendorsTechnical malfunctions beyond reasonable controlMissed moments caused by circumstances outside our controlLiability is limited to the total amount paid by the client for services.

 

11. Use of Content

Unless otherwise agreed in writing, The Heirloom Edit may use captured content for:

- Portfolio purposes

- Website galleries

- Social media marketing

- Promotional materials

Clients who prefer their content remain private must advise this in writing before the event.

 

12. Force Majeure

The Heirloom Edit shall not be held responsible for failure to perform services due to circumstances beyond reasonable control, including but not limited to illness, natural disasters, government restrictions, venue closures, transportation disruptions, or emergencies.

13. Unplugged Weddings & Guest Interference

The Heirloom Edit is not responsible for missed footage or obstructed shots caused by guests, wedding party members, venue staff, photographers, videographers, celebrants, or other vendors blocking access to key moments.While every effort will be made to capture important moments, coverage may be affected by crowding, venue restrictions, lighting conditions, or unexpected schedule changes.

15. Device & Data Protection

The Heirloom Edit takes reasonable precautions to safeguard all captured content. However, in the unlikely event of equipment malfunction, technical failure, accidental loss, corruption of files, theft, or circumstances beyond reasonable control, liability shall be limited to the amount paid by the client for the affected services.No guarantee is made regarding the capture or recovery of every piece of footage recorded during the event.

 

16. Acceptance of Terms

Payment of the booking fee and confirmation of services constitutes acceptance of these Terms & Conditions

Privacy Policy

At The Heirloom Edit, your privacy is paramount. We collect personal data such as names, contact details, and event locations purely for the purpose of service delivery and communication. Given the nature of our business—capturing candid real-time content—we are committed to storing and handling all visual assets securely. We do not sell your personal information to third parties. Any use of event content for our own portfolio or social media is subject to the permissions granted in your specific service agreement.

General Disclaimers

The content produced by The Heirloom Edit is intended for personal keepsake and social media use. While we strive to capture a comprehensive look at your event, our service is separate from and complementary to professional traditional wedding photography or videography. We are not liable for environmental factors, technical failures beyond our control, or schedule shifts on the day that may prevent the capture of specific moments. All business operations are governed by the laws of Queensland, Australia.
